Leads

This is where everyone starts. A Lead is anyone who’s shown interest in what you do – maybe they filled out a contact form, met you at a networking event, or were referred by a client.

Contacts

Once a Lead is qualified, they become a Contact. This is where relationships happen. Why separate Contacts from Leads? Because one company might have multiple people you’re working with.

Accounts

An Account represents the company or organization you’re working with. Think of the Account as the container. Contacts are the people inside it, and Deals are the projects you’re working on with them. Good practice: Don’t create duplicate Accounts. Search first, then add.

Deals

This is where the magic happens – or doesn’t, if you’re not tracking it properly. The Deals Database is your sales pipeline visualized for potential or ongoing sales. Deals track money in motion – everything you’re working to win or lose. Pro tip: Name deals “Account — Outcome,” e.g., “Acme — System OS + Onboarding.”

Activities

Every phone call, email, meeting, or note needs to live somewhere. The Activities log them. Activities make sure you never have to ask “What happened last?” or “What’s next?” for any person, company, or deal.

Team

Each member of your team has an entry in the Team database. Each team member can have their own dashboard view, showing only their opportunities, making it easy for everyone to stay focused on what matters.

You won’t live inside this one, but it quietly does a lot of heavy lifting. Stats DB is the engine behind the 🛎️ Notification view on the CRM home, as well as key metrics and rollups you use in dashboards and reports.
